This Privacy Policy describes how experTribe LLC ("experTribe," "we," "us," or "our") collects, uses and protects information when you use GranTribe. By using GranTribe you agree to the practices described here.
GranTribe was previously called GrantMinder. The name has changed. How we handle your data has not.
This policy applies to organizations and their members who access GranTribe through grantribe.app or the GranTribe API, and to the service work we do alongside your team. If you are visiting grantribe.com without an account, section 9 applies to you.
We do not purchase or acquire personal data from data brokers or third-party sources.
To operate your account, deliver platform features, do the service work agreed in your subscription, process payments and respond to support requests.
Your organization's data is used to improve your own submissions over time. The more you use GranTribe, the better it understands your organization's voice, priorities and funding history. Those improvements belong exclusively to your organization.
We analyze anonymized patterns in platform usage, including grant outcomes, pipeline activity and feature engagement, to improve recommendations and performance for all users. Only anonymized patterns, trends and outcomes contribute to this. Your organization's content is never shared with another organization.
What GranTribe learns about funders and the funding landscape stays with the platform after your account ends, in anonymized form. It carries nothing that identifies your organization.
We use your email address for account notifications, billing receipts, subscription updates and product announcements. You may opt out of product announcements at any time. Transactional and billing communications cannot be opted out of while your account is active.
We use IP addresses, session data and audit logs to detect and respond to unauthorized access, abuse and security incidents.
We may process and retain certain data as required by applicable law.
Onboarding is a conversation, and ongoing service work involves talking to your team. Two things follow from that.
What you tell us in those conversations is used to do the work. Where it belongs in your organizational record, it goes there and you can see it. Where it does not, it does not become a record.
Personal or informal context shared in the course of a working relationship is not captured into your organizational profile.
To operate GranTribe we share limited data with third-party service providers. Each is contractually required to protect your data and may only use it to provide their service to us.
AI processing. We use a third-party AI API to power writing and analysis features. When you use these features, relevant session content is sent to that provider for processing. Our AI provider does not use API inputs to train its models by default.
Payment processing. Payments are processed by a PCI-compliant third-party payment processor. We do not store card numbers or payment method details.
Email delivery. Transactional and billing emails are delivered through a third-party email service provider, which processes your email address and notification content solely for delivery.
Data storage and infrastructure. Your data is stored in encrypted databases on cloud infrastructure operated by third-party providers under data processing agreements with experTribe LLC. Data is encrypted at rest and in transit.
Analytics and error monitoring. We use a third-party tool for error monitoring and usage analytics. Only metadata is sent. Application content, organizational narratives and profile data are never included.

We implement technical and organizational measures including encrypted transmission, encrypted storage, role-based access controls limiting what each member of your organization can see and do, API key authentication with hashed storage, and audit logging of platform activity.
No system is completely secure. If you believe your account has been compromised, contact us immediately at support@grantribe.com.
We retain your organization's data for as long as your account is active.
When your subscription ends, three things happen. Your account remains accessible in read-only form for the period described in the Terms of Service, so you can retrieve what you need. After the archive period, factual identifiers and financial data are deleted from any retained records. What GranTribe has learned about funders and the funding landscape is retained only in anonymized form.
You may request deletion of identifying data at any time. We retain audit logs and billing records for up to 7 years as required for financial and compliance purposes.
If you visit grantribe.com without an account, we collect standard web server logs including IP address, browser type and pages visited, used only to understand traffic patterns and maintain site security. We do not use tracking pixels or behavioral advertising on our marketing site.
Your tenant administrator has the right to:
Copies provided cover your own organizational content. They do not include shared grant data or the analysis GranTribe generates, as described in the Terms of Service.
If you are a member of an organization using GranTribe and want your individual information removed, contact your tenant administrator first. Your administrator manages the member list for your organization.
If your administrator declines and you have a legal basis under applicable law, including the GDPR or a state privacy law, contact support@grantribe.com and experTribe will process the request directly.
To exercise any of these rights, contact support@grantribe.com. We will respond within 10 business days.
experTribe is based in the United States and your data is processed there. If your organization is outside the United States, you understand that your data will be transferred to and processed in the United States.
GranTribe is designed for organizations and is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors.
We may update this policy from time to time. When we do, we will update the Last Updated date and notify active subscribers by email at least 14 days before material changes take effect. Continued use after the effective date constitutes acceptance.
